Administrative Assistant/PA - 6 Month FTC

Our client, based on the outskirts of Windsor, are a fantastic privately held software company. They have a track record of consistency and growth and offer excellent development opportunities within the business.

This role working as a Administrative Assistant/PA is to initially start as in a 6 month FTC with the likeliness of going permanent.

Key responsibilities:

  • PA support, including arranging internal and external meetings, booking travel, gatekeeping and processing expenses
  • General admin support to the teams including organising flights, hotels, and taxi bookings through dedicated travel agency's
  • Weekly tracking and recording of staff locations
  • Attendance at monthly meetings, which will require preparation of agendas, collation of monthly reports and the taking of accurate minutes
  • Raising purchase orders
  • Tracking team travel and approval of invoices
  • Tracking contractor timesheets and invoices
  • Project support during implementation period including document management, control of project intranet page (SharePoint) Minute taking at project reviews
  • Reception cover for full time receptionist during breaks/holidays etc
  • General admin support
  • Assist in the organisation/coordination of UK meetings and company events
  • Act on behalf of the team as a liaison between internal departments, offices and clients

Key skills:

  • Previous Admin/PA experience, preferably in an international company
  • Experience of reporting into multiple managers
  • Strong administration, planning and organisational skills
  • Good written and oral communication
  • Ability to produce accurate and professional written documentation, particularly on MS Word
  • Self-starter who can be proactive and forward thinking but can also react quickly to urgent situations
  • Good working knowledge of MS Word, Excel, Outlook and Powerpoint
  • Knowledge of SharePoint, Concur and MS Project advantageous
  • Previous project support beneficial
  • Ability to multi-task
