Our client, a successful and vibrant company, is seeking a competent and professional Operations Administrator to join their team. This role will suit someone who is driven, has initiative and an entrepreneurial spirit.

This role assists the Operations team by providing IT, administrative and secretarial support.

Duties;

  • Providing secretarial and team administration support to professional staff and to Head of Operations / HR
  • Preparing photographic schedules from downloaded digital pictures to add into written reports
  • Correspondence -copy typing, managing the dispatch and return of digital (audio) transcriptions to the remote resource and managing that resource for all users
  • General research as required
  • In-house IT support, resolving issues if possible, liaising with third party contractor where necessary and monitoring general IT work/upgrades
  • Outlook - setting up/ edit distribution groups
  • Website - provide support to Marketing in carrying out simple updates
  • Update CRM database with new opportunities / jobs
  • Maintaining staff personnel details
  • Organise on-boarding of new staff and off-boarding of leavers
  • Maintain and issue internal office information, office manual, internal phone contact list, IT instructions
  • Maintain holiday and sickness records and provide update information to staff, set up individual records at beginning of each year
  • Client account administration, setting up new jobs - open jobs, issuing job numbers, issuing client conflict check emails and keeping central copy, creating client soft files
  • Pay all suppliers from schedule provided by purchase ledger colleague
  • Twice weekly update the cash flow movement spreadsheet
  • Weekly bank reconciliation
  • Provide reception and front of house support
  • Answering telephone calls
  • Deal with the post
  • Purchase stationery and consumables
  • End of day clear down and washing up of cups/glasses etc ensuring the area is kept clean and fully stocked


Skills and experience:

  • Excellent communication skills with the ability to make others feel at ease, being a team player, professional presentation
  • Committed, organised, ability to multi-task, methodical, thorough and responsible, with a high attention to detail, a quick learner with a mature outlook and keenness to develop core skills
  • IT literate, particularly with Word, PowerPoint, Excel, Adobe, Outlook
