Assistant to the PA of the Headmistress

Our client, a lovely school on the outskirts of High Wycombe, is looking to recruit an Assistant to the PA of the Headmistress.

This role is a temporary to 12 month contract position.

Ideally, we would like someone with experience working in a school and the successful candidate will have strong secretarial skills, with the ability to remain calm and professional. You will need to be accustomed to working under pressure and provide a high standard of administrative support for the Headmistress.

Duties include

  • Deal with a wide variety of telephone calls
  • Arrange dates for uniform suppliers and school photographers to visit the school
  • Ensure that confidentiality is maintained
  • Monitor destinations for all leavers and advise Buckinghamshire County Council
  • Maintain the Headmistress's filing system and photocopying
  • Deal with enquiries from visitors, governors, parents and staff
  • Ensure that the Head's diary is kept up to date
  • Type the Head's letters, reports etc.
  • Process requests for leave of absence
  • Organise Governor visits and maintain records
  • Type confidential references for pupils and staff
  • Process Sixth Form Scholarship applications
  • Advise the Registrar, Finance Manager and iSAMS co-ordinator of any girls who are leaving the school
  • Monitor destinations for Upper Sixth and to arrange for the Honours Board to be updated
  • Attend Senior Pastoral Team Meetings and take minutes
  • Assist with the organisation of school events as required
  • Ensure the Headmistress's notice board in the Main Staff Room is kept up-to-date

  • Previous PA experience is essential, ideally in a school
  • Good interpersonal skills; the ability to communicate effectively with a variety of people and to assess and diffuse confrontational situations
  • Discretion and proven tact and diplomacy in dealing with adults and children
  • Ability to work as a member of a collaborative team
  • Capacity to remain calm and to cope with the unexpected
  • Ability to prioritise work efficiently and effectively
  • Energy and enthusiasm
  • Excellent ICT skills
