We're looking for an experienced Executive Assistant to join a fantastic team based in Wokingham!

You'll be required to undertake wide ranging and varied secretarial and administration duties and assist other EAs/PA's within the Company to provide cover during holidays, absence or extreme project workloads.

Salary: up to £40,000

Location: Wokingham

Your Key Responsibilities & Accountabilities will include…

  • You'll be expected to know the clients of each Principal, details of the associated client teams and to be able to field enquiries, work under own initiative to resolve issues and assist in deadline management
  • Opening and distributing mail for designated Principal
  • Extensive diary management
  • Understanding of business needs to effectively prioritise conflicting appointments
  • Self-motivated and proactive, ensuring the Principal is aware of their commitments and ensuring this is reflected in their calendar
  • Travel arrangements - anticipating needs in advance of travel ensuring travel plans and associated accommodation details are provided in a detailed itinerary plan
  • Organising and planning internal and external meetings
  • Organising/participating in client events and conferences
  • Providing administrative support on various projects
  • Typing (audio and copy)
  • Collating relevant information to produce client/trustee reports, tender documentation, Board papers and subsequently generating and binding associated final documents
  • Handling both DWP and HMRC queries
  • Receiving and handling internal and external telephone queries
  • Developing a basic knowledge and awareness of their clients and associated schemes
  • Assisting the team with project related work e.g. bulk mailshots

Your Experience, Education and Skills…


  • Previous experience as a Personal Assistant or Executive Assistant providing support at Director or Board level including; copy (and if applicable audio) typing, diary management, meeting coordination, extensive presentations and report formatting, travel and expenses handling, filing, binding and ordering office supplies/stationery
  • Fast and accurate minimum typing speed 60wpm to RSA or equivalent standard
  • Computer literate to advanced levels in Microsoft Office including Word, PowerPoint, Excel and Outlook with proven strength in document and presentation formatting and mail merge
  • Educated to a minimum of GCSE or equivalent standard, ideally including Maths and English - minimum grade B
  • Exceptional communication and interpersonal skills, with a professional telephone manner
  • Well-developed written communication skills
  • Excellent organisational and prioritisation skills
  • Good attention to detail and awareness of the need for speed/accuracy
  • Team orientated approach, willing to assist their colleagues
  • Demonstrates initiative with a positive and proactive approach
  • Numerate approach, able to assimilate data.
  • Good problem resolution skills
  • Tact and sensitivity in handling confidential information.


  • Recognised PA/secretarial qualification would be of distinct advantage, e.g. Pitmans, City & Guilds
