Based in Maidenhead

JOB PURPOSE

To ensure that the French and UK markets are provided with proactive support and ensure the effective administration of activities within these regions. Support the UK operation through public session administration and materials ordering / stock control. To support the European finance team.

PRINCIPLE ACCOUNTABILITIES

The functional responsibility is to take full control of the day to day administration of the French and UK regions to support the field consultants' activities, ensure that local statutory obligations are adhered to and provide assistance to the finance function.

The main responsibilities and duties are to ensure:

  • Responsible for incoming mail for Maidenhead office, distribution and follow up.
  • Handle all incoming phone calls to Maidenhead office and faxes and forward to consultants or BDG as required.
  • Handle all e-mail correspondence and liaise with consultants.
  • Provide support around the planning and logistics of running public and in-house sessions including mailings, participant confirmation, hotel reservations, subscription bookings, issuing of certificates and participant lists for France and the UK.
  • Invoicing, Ordering and control of all client materials related to UK and France.
  • Support local marketing activities including mailing lists. Support consultants via market research through company searches on the internet.
  • Proof read all French proposals prepared by consultants to ensure accuracy of presentation and forward to clients. Ensure proposals are signed off by client and filed.
  • Prepare French clients and inter-company sales invoicing based on information in sales forecasting tool and through liaison with consultants to ensure all billable time and expenses are accurately invoiced. Prepare revenue report for regional accountant to reflect sales activity.
  • Responsible for administration of French debtors including credit control activities.
  • Translation of French documentation as required.
  • Provide support to European Finance team, especially during month end closes.
