Medical Division Administrator - pharma sector

Our Client, a successful global pharmaceutical company based near Marlow, is seeking a Medical Division Administrator to provide secretarial and administrative support to various projects/departments, prepare and manager departmental correspondence, oversee training records and maintain financial systems for the department.

The ideal candidate will be an organised, thorough and flexible Administrator with a great work ethic, ideally with pharma experience.

We're looking for a bright, positive and motivated individual.

Key Duties

  • Provide secretarial and administrative support, and arrange meetings for the Medical Division
  • Maintain documentation, as instructed, to ensure compliance in each department Pharmacovigilance, Medical Information, Regulatory Affairs, Compliance and Medical Affairs
  • Set up and maintain files for the Medical Division and any other documents as required. Ensure documentation complies with internal and external requirements
  • Consolidating training records for Medical Division at the end of each year
  • Maintain financial systems
  • Payment requests, send payments, and reconcile invoice/statements against payments; ordering goods
  • Maintain records to monitor budget spend. Payments cover licence fees, subscriptions, meetings, etc
  • Take responsibility for data entry and maintenance of the archiving systems, as required
  • Type standard letters and reports and filing
  • Booking of flights, trains, taxis, meeting venues and catering as requested

Experience, Skills and Qualifications

  • A high level of administrative skills, ideally gained within the pharma industry
  • IT skills including Word and Excel
  • A positive, can do attitude
  • Great work ethic, always happy to go above and beyond
  • Bright, initiative, good team worker
