Our client, a family run business, is looking for an experienced Administrator to join their team.

The main purpose of this role is to provide general admin support to the office, whilst also assisting the Service Co-ordinator in the smooth running of the Service Dept, plus assisting the Office Manager with H&S admin and Quality Management Systems admin.

The successful candidate will be reliable, methodical and organised with strong IT skills.

Duties include

Answering the telephone in a professional manner & dealing with enquires

Checking/dealing with Services and enquiries email Inbox

Opening & distributing post

Writing up paying-in books for client cheques

The completion of Health & Safety Subcontractor Questionnaires

Responding to client requests for updated policy documents

Issuing Risk Assessment & Method Statements to customers where required

Assisting in the preparation of both Health & Safety and Quality Management Audits

Assist in maintaining our processes with our quality management system

Booking of Training

Ordering of Supplies

Assisting Accounts with invoicing queries

Issuing of purchase orders to suppliers

Updating customer database

Processing Engineer Report Sheets/Certificates through to invoicing.

Email Engineer's Report Sheet to Clients after invoicing/on request

Interim Service & Maintenance invoicing for customers who have quarterly/monthly Service Agreement invoicing

Booking Engineer's jobs & issuing job sheets on ad hoc/weekly basis

Setting up annual schedules for sites & updating where necessary

Skills/Experience

* Methodical, orderly and professional approach to work

* Must be able to work off own initiative

* Competent with MS Excel, Word & Outlook

* Professional/friendly telephone manner

* Willing to work as part of a team and learn new tasks as the role evolves
