Office Manager, Accounts and Reception Assistant

Our client, a leading international IT company are currently seeking a Office Manager, Accounts and Reception Assistant to assist with invoicing, expenses credit control and office facilities.

Key Areas of Responsibility:

  • Managing reception, telephone calls and visitors to the business
  • Supporting Finance activities, managing shared mailboxes, preparing purchase orders, scanning of purchase invoices, processing purchase invoices and employee expenses, credit control etc.
  • Supporting the management team with general administration, as required
  • Maintaining the appearance and functioning of the office - managing meeting rooms, catering, equipment service/repair, cleaners etc.
  • General operation of the kitchen in order to offer staff a conducive environment
  • Managing car parking facilities and operation of security and access controls
  • Supporting HR activities, especially in cases of induction
  • Contract management, ensuring customer contracts are signed, scanned and filed
  • Ordering and organising stationery, business cards, kitchen supplies etc.
  • Incoming and outgoing post, couriers, deliveries etc.
  • Trained in fire and first aid, and ensuring health and safety processes are observed

Essential Skills and Personal Attributes:

  • Ability to establish immediate rapport with clients, business partners and other visitors
  • Proficient in office applications such as Microsoft Outlook, PowerPoint, Excel and Word
  • Experience of using Sage 200 would be ideal
  • Able to manage own time efficiently and to prioritise
  • Discreet, with the ability to handle confidential information sensitively
  • Polite and professional manner when handling calls, greeting visitors and engaging with colleagues
  • Attention to detail
  • Flexibility to be able to handle a variety of situations and a varying workload
  • A highly proactive approach to organizing and managing general administration and support for the different business teams
