Our client is an innovative and forward-thinking company. Based near Henley, they provide a safe and caring environment to their staff and customers.

The role:

Provide administrative support to the Board Directors. Responsible for the administrative duties and liaising with all stakeholders across the group.

Key Responsibilities:

* Administrative tasks such as diary appointments, travel arrangements, catering and conference calls
* Preparing agendas and board packs, minute taking, following up and tracking progress of meeting actions are agreed and completed
* Arranging conference calls, screening telephone calls, dealing with incoming and outgoing post
* Creating new employee contracts and offer letters, obtaining references, processing DBS applications and preparing induction packs
* Reviewing and negotiating contracts with suppliers for stationery, office supplies and services including hygiene, air conditioning, cleaning, maintenance and postal services
* Managing mobile phone account, ensure the tariff is appropriate, set up email accounts on new handsets, check and monitor usage on invoices
* Creating reports and analysing reports (training will be provided)
* Liaising with suppliers to ensure information is updated and policies are correct
* Responsible for all insurance claims e.g. property damage, vehicle damage, employee liability, public liability, medical malpractice ensuring all sites follow internal procedures and that all documents are sent to insurers on time and follow up on outstanding queries
* Maintaining the expenditure schedule; allocating credit card payments to relevant sites, processing credit card orders
* Ordering stationery and monitoring the Group stationery account
* Controlling petty cash for Head Office
